Daily Tasks:
Check email when arrive
Enter any bills or charges that have come in
Answer any collections emails
Go thru folders for any receipts/bills/deposits that may have come in
Record as necessary
Update Access file for any demos scheduled/demos held from Sales Associates/Reps spreadsheets
Send out new invoices as needed
Work on BI information, update spreadsheets, upload new data if necessary, look for additional graphs/info that could be set up
Check Mail-input bills, record receipts
Update Sales rep and Manager commission reports if sent invoices or received payments
Other tasks as they pop up
On Mondays:
Run Open Invoice report, send to Leslie and Scott
Send out that weeks collection emails
Check if Payroll taxes need to be paid
On Tuesdays:
Run unpaid bill report, give to Scott for review
Payroll Weeks:
Go over Sales Associates and Reps spreadsheets to make sure all info has been entered into Access
Run DemoScheduled-all in access to make sure all demos scheduled for that pay period have been reported by Sales reps-send email to Reps if need additional information
Input payroll for Scott to review
First workday of the month:
Look up on clients spreadsheet which customers need to be invoiced for renewals
Send out renewal invoices and set up Tasks in Zoho
Send in DE34 to report any new employees hired in the prior month
Update BI data by the 5th of the month and upload to Zoho. You might need to adjust the data around the 15th after the AmEx bill has been posted and upload the data again.
Around the 15th of the month:
Run monthly financials for the management group (usually try to download the AmEx bill if it hasn’t arrived in the mail yet to make sure all those charges have been recorded)
Quarterly:
Around the 15th to the 20th
Run the quarterly payroll tax reports and send in
